When you’re lying on a sunny beach with a cold drink in your hand, the last thing you want to worry about is responding to emails.  With Outlook’s automatic replies feature, you can setup your email account to send an automated message to anyone that emails you. You can also have your emails forwarded to another person, so that a coworker can respond to your emails.

Setting up automatic replies will let anyone who sends you an email know that you are out of office and that they can expect either delayed responses or an email from someone else within the company.

Navigate to File > Automatic Replies (Out of Office)

Automatic replies can be sent to your coworkers and/or to everyone that emails you. You can change your automatic reply wording depending on whether someone is inside or outside of your organization. Additionally, you can also specify the time range in which the auto-replies will be sent. Then, when you return to the office, you won’t need to worry about turning off automatic replies.

As you can see in the images below, I’ve chosen to send automatic replies from December 31st to January 4th, so that I can enjoy my New Years vacation without work interruptions. I’m sending the same message both to my coworkers and to people outside my organization, but I have changed the font style and size depending on whether you are my coworker or not.

Outlook Web Access (OWA) 2013:

Should you forget to set automatic replies in Outlook before leaving the office for vacation, you can always set them up in Outlook Web Access.  Just sign into OWA and then follow the below instructions. You can sign in here.

Navigate to Options > Set automatic replies (or Options > Options > Organize E-mail > Automatic Replies):

Yet again, automatic replies can be sent to users inside your organization or to everyone, and the content can be different for each. You can also specify the time range in which the auto-replies will be sent.
